This Privacy Policy describes how SongVet collects, uses, and protects your information when you use our audio analysis service. By using SongVet, you consent to the data practices described in this policy.

1. Information We Collect

Account Information

When you sign in through Replit Auth, we receive and store:

  • Your display name and username
  • Your email address (if provided by Replit)
  • Your profile image URL
  • Your Replit user ID

Uploaded Audio Files

When you submit audio files for analysis, we temporarily process the file to extract acoustic features. See Section 3 for details on how audio files are handled.

Scan Results and Analysis Data

We store the results of each scan, including risk scores, match data, AI detection results, consensus verification outcomes, and platform readiness assessments.

Payment Information

If you subscribe to a paid plan, payment processing is handled entirely by Stripe. See Section 5 for details.

2. How We Use Your Information

We use the information we collect to:

  • Provide and operate the audio analysis service
  • Generate risk assessments, reports, and certificates
  • Improve our detection algorithms and reduce false positives
  • Manage your account and subscription
  • Communicate with you about your account or the service
  • Maintain the security and integrity of the platform

3. Audio File Handling

We take the privacy of your audio content seriously:

  • Metadata stripping: All metadata (ID3 tags, EXIF data, etc.) is automatically stripped from uploaded files before analysis
  • Processing and deletion: Uploaded audio files are processed for analysis and then deleted from our servers. We do not permanently store your original audio files.
  • Acoustic fingerprinting: Acoustic fingerprint data (mathematical representations of audio characteristics) may be derived from your audio and stored in our detection database to improve future scan accuracy. This fingerprint data cannot be used to reconstruct or reproduce your original audio.

4. Blockchain Data

If a blockchain certificate is minted for your scan:

  • A cryptographic hash of your analysis results is permanently recorded on the Ethereum blockchain (Sepolia network)
  • This data is public and immutable — it cannot be modified or deleted once recorded
  • The on-chain data includes the certificate hash, token ID, and metadata URI, but does not include your original audio file
  • Transaction hashes and token IDs are visible to anyone on the public blockchain

By using the blockchain certificate feature, you acknowledge and consent to this permanent, public data storage.

5. Payment Information

All payment processing is handled by Stripe. We do not directly collect, store, or process your credit card numbers or bank account details. We store only:

  • Your Stripe customer ID (for managing your subscription)
  • Your Stripe subscription ID (for tracking subscription status)
  • Subscription tier and status information

6. Data Retention

We retain your data as follows:

  • Account data: Retained as long as your account is active
  • Scan results: Retained as long as your account is active
  • Uploaded audio files: Deleted after processing (typically within minutes)
  • Acoustic fingerprints: Retained in our detection database unless you request removal
  • Blockchain data: Permanently stored on the Ethereum blockchain and cannot be deleted
  • Audit logs: Retained for security and operational purposes

7. Third-Party Services

SongVet uses the following third-party services that may process your data:

  • Replit Auth: Authentication and identity verification
  • Stripe: Payment processing and subscription management
  • ACRCloud: Music recognition and copyright database comparison
  • Ethereum blockchain: Permanent storage of certificate hashes (Sepolia network)

Each of these services has its own privacy policy governing how they handle your data.

8. Cookies and Local Storage

SongVet uses minimal client-side storage:

  • Session cookies: Required for authentication and maintaining your login state
  • Local storage: Used to store your dark mode/light mode theme preference

We do not use tracking cookies or third-party analytics cookies.

9. Your Rights

You have the following rights regarding your data:

  • Access: You can view your scan history, results, and account information through the SongVet dashboard
  • Data deletion: You may request deletion of your account and associated data by contacting us. Note that blockchain data cannot be deleted due to its immutable nature.
  • Account termination: You may terminate your account at any time
  • Fingerprint removal: You may request removal of your acoustic fingerprint data from our detection database

10. Children’s Privacy

SongVet is not intended for use by individuals under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have collected data from a child under 13, we will take steps to delete that information promptly.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify users of material changes by updating the “Last updated” date at the top of this page. Your continued use of the service after changes are posted constitutes acceptance of the revised policy.
